About OneFile Keychain

Connect your Facebook account with your Keychain and log in using Facebook instead!
OneFile Keychain is a password manager for all your OneFile accounts. Instead of having to remember several usernames and passwords, you just have to remember one username (your email address) and one password to access your Keychain.

How does it work?

OneFile accounts are added to your Keychain in a similar way to how you currently log into OneFile with your username and password.

You can then view all your OneFile accounts on one screen with clickable profile pictures to quickly login. You can also view the date you last logged in and what you did, along with click-through buttons displaying the number of outstanding tasks and messages you have.

How many accounts can I add to my Keychain?

You can add as many accounts as you like — as long as you are the named user of that account and have the correct username and password.

Which accounts can I add to my Keychain

You can add accounts from the TRAINING server as well as accounts from the production ONEFILE server.

Account types may be Learner, Assessor, IV, Centre Manager, Center Monitor, Employer and Work-Based Recorder. At this time, EV accounts are not supported on the Keychain.

As an extra level of security once an account has been added to a Keychain it cannot be added to another Keychain.

How do I add an account to my Keychain

  1. After logging in, you select the Add new account option from the menu.

  2. Select the Server your account is held on. The default selected option is the ONEFILE server which is where the 'live' accounts are held. However if you are wanted to add a practice account then select the TRAINING server from the menu.

  3. Now you are required to enter your OneFile account username. You must input it exactly the same way in which you would log in — capitalising any letters as appropriate.

  4. Then enter your password, again capitalising any letters as appropriate.

  5. Finally, click the Add Account to Keychain button. If successful, the account will be added to your Keychain otherwise an error message will appear.

Can I still log into OneFile the old way?

You have the option to control this. The recommended setting is Keychain protected which means that you cannot log into your OneFile account from the older login screen — only from your Keychain. This offers the best level of security.

When adding a new account, leave the tick inside the Keychain protected option to only allow login access from your Keychain, or remove the tick to retain the ability to log in from the older login screen.

To change the option for your existing accounts:

  1. Click the Edit account icon to the right of your account name

  2. For a Keychain protected account, tick the Keychain protected option, or remove the tick for an Unprotected account

  3. Re-click the Edit account
  4. icon to save the option

Why do I have to provide my date of birth and a memorable name?

In the event that you have forgotten your password and you are unable to use the password reminder to obtain your password via email, you will be asked to verify this information on screen.

Your password and memorable name are stored in a scrambled state in the Keychain database through a process known as encryption. This even prevents our administrative staff from viewing these personal details.

What do I do if I have forgotten my password and/or my email?

If you have forgotten your password, but know your email address, then use the Reset Keychain Password facility.

If you have forgotten your email address or no longer have access to the email address that your Keychain account is associated with then use the Retrieve Keychain Login Details facility.
